   NOTICE INVITING TENDER

Tender No.VM. NO. 1120/VIIB-47/09  03 September 2009

Sealed tenders are invited by the Victoria Memorial from reputed firms for "Annual Maintenance of Sound and Light system (Son-et-Lumiere), at the Victoria Memorial Hall as per the scope of work given below as Annexure".

The sealed tender must reach the office on or before 2.00 p.m. on 20 October 2009. The same will be opened on 20 October 2009 at 3.00 p.m. in presence of such quotationers who wish to remain present. (The last date of submission has been extended, vide order no.VM No.1272/VIIB-47/09, dated: 10 October 2009)

The quotation in sealed cover should be superscribed "Tender for Sound & Light System - Annual Maintenance Contract". The rate should be quoted in both words and figures. The tenderer should submit the credential in support of their background of similar nature of work done in the last three years.

Tenderers are required to deposit earnest money of Rs. 8000/- (Rupees eight thousand, only) in the form of Bank Draft drawn on any nationalised bank in favour of "THE TRUSTEES OF VICTORIA MEMORIAL", payable at Kolkata. The above earnest money will be refunded not before one month from the date of issue of work order to the unsuccessful tenderers.

The successful tenderer will be required to deposit 10% of the final contractual amount as Security Deposit, in the same form in which the earnest money has been deposited to "the Trustees of the Victoria Memorial", before receiving the work order.

The Security Money since deposited will be refunded not earlier than one month from the date of final payment. The earnest money will be forfeited, if the Security Money is not deposited within seven days from the date of intimation in this regard.

Authority reserves the right to accept or reject any or all the tender without assigning any reason thereof.

 ANNEXURE TO TENDER FOR ANNUAL MAINTENANCE OF
SOUND & LIGHT SYSTEM ( SON-ET-LUMIERE) AT
VICTORIA MEMORIAL

SCOPE OF WORK
 1. Day-to-day operation of Son-et-Lumiere.
 2. Servicing, repairing & maintenance of the following equipment:
i) Power Amplifiers;
ii) Tape Recorder;
iii) Optical Programmer;
iv) Various Pulsers, Modules, Control Cards;
v) External Speakers;
vi) Relay Panel Board;
vii) Main Distribution Board.
 3. Scrapping and painting of outdoors MS area, net guards, junction boxes, water roller and sound column etc. as and when required.
 4. Replacement of glass, lamps & choke etc for Philips fittings.
 5. Repair, scrapping & painting of projector box. 
 6. Replacement of (i) MCBs, (ii) Contactor for relay, (iii) fuses, (iv) Projector lamps, (v) dimmer lamps. 
 7. Repair & maintenance and overall handling of projector machine (materials will be supplied by Victoria Memorial Hall).
 8. Maintenance of screen mechanism (materials will be supplied by Victoria Memorial Hall).
 9. Repair & maintenance of (i) screen and (ii) Dimmer (materials will be supplied by Victoria Memorial Hall).
 10. Fitting and fixing of lights (materials, if required will be supplied by Victoria Memorial Hall).
 11. Lackering of coloured glass as and when required (painting material will be supplied by Victoria Memorial Hall).
 12. Cleaning and laying of chair every day as per requirement depending up on the number of audience.
 13. The Agency will have to provide service and maintenance of the system on a cycle of two services per year plus weekly check up.
 14. The Agency shall ensure that the show does not hamper in any way due to reason within control.
 15. Terms of payment: The payment will be made quarterly in advance on pro-rata basis.
